During every medical reminder that we handle, the full name of the patient is spoken to alleviate any confusion regarding the intended recipient of the message.  We also offer additional identification options for messages that are of a more confidential nature.

Are appointment reminders allowed?
Yes, appointment reminders are considered part of treatment and are allowed.


Is authorization or permission required before calling?
No. Since appointment reminders are considered part of treatment, authorization is not required. We suggest that you add a disclosure sentence in your HIPAA policies brochure that informs your patients that you use automated appointment reminders.


What if a patient requests not to be called with a reminder?
HIPAA requires that you honor such requests. Tavoca provides a Do Not Call feature that is simple to use.


Can messages be left on answering machines or with third parties?
Yes. HIPAA allows you to leave basic appointment reminder information on an answering machine or with a third party when dialing a patient's residence. In keeping with the spirit of this particular regulation, we suggest that you be prudent when using reminders and limit the information to no more than is necessary for the patient to keep the appointment.
