What is AppointmentCall?
AppointmentCall is a service that provides automated telephone appointment reminders. There is no hardware or software to purchase, and
the typical clinic pays 10 to 15 cents per patient for reminders. Reminder calls are fully customized for each client, and include complete
appointment information as well as the full name of the patient.

How does AppointmentCall work?
AppointmentCall uses our servers and phone lines to process your reminder calls. Calls are triggered
based on data that you upload to our secure web servers. Most scheduling software includes a data
export or save-to-disk feature that creates the required data file within seconds. We will program our
system to accept your data, no matter what the format, as part of our standard set up process. Even if custom
programming is required, you won't be charged. As calls are processed, the results of the calls are immediately updated
in our online reports.

What does AppointmentCall cost?
AppointmentCall pricing is based on the total monthly volume of appointments that your
organization schedules. Set up is typically $99 for most clinics, and per-appointment fees
range from 6.9 cents to 18.9 cents per appointment. This flat-rate per-appointment fee includes multiple call
attempts, call back later options, and all long distance. There are no other fees or charges whatsoever.

What if we schedule appointments on paper only?
You can still use AppointmentCall for telephone appointment reminders. We offer a couple of ways for
you to provide your appointment data. You can input the data on the Tavoca website using our Record Manager tool,
or you can use a simple spreadsheet template that we provide and upload your list after typing it locally. Either way,
the entire process is still much more efficient than having staff attempt to reach patients or clients during the day
when most folks are at work.

Is AppointmentCall HIPAA compliant?
Yes, AppointmentCall is HIPAA compliant. All of our products that are used by the medical and dental
professions meet or exceed HIPAA regulations. The data that we store on our servers is secure, and the reminder calls
are always managed well within the scope of HIPAA guidelines. Please view our

What is required to use AppointmentCall?
The only thing you have to provide is appointment data. We handle everything else. You will need a
computer that can access the Internet to upload or input data, but that is it. No hardware or software
purchase is required. No phone lines are required, and no staff time is required other than upoading your data
once a day.

How do we determine who confirmed or canceled?
AppointmentCall reports are online and can be accessed from any Internet connection using your
secure username and password. Plus, reports are archived online so that that are always available, no matter
how far back you wish to research a particular date or client's reminders. Our QuickReport tools
make results review simple, yet it also includes powerful drill-down options when more advanced details are desired.
Our Schedule Snap Shot report provides a color-coded graphic representation of each provider's schedule with confirmations
and cancellations easily discerned.

What contract terms are required?
AppointmentCall is provided as a monthly service. We are confident that you will love AppointmentCall,
but we are willing to earn your business and prove our value every month. We do sometimes offer special discounts
for longer-term commitments, but you can get started and try our service with no more than one month's
commitment.
